Export sales follow-up

Know which export deal needs your next action.

A buyer replies about freight. Another offer is waiting for a response. Yesterday’s follow-up is still open. Exporlio brings these priorities back to the enquiry, stock and latest offer so your team can act with the full context.

Start with the dashboard’s sales priorities

Review new enquiries, buyer replies waiting for an answer, overdue follow-ups and offers awaiting response. Questions, change requests and buyer acceptance surface the decisions that need attention. These priorities come from recorded activity and due dates.

Give every next action a date and an owner

Work through overdue, today and upcoming follow-ups. Filter by responsible seller, switch between list and calendar, reschedule when timing changes, or complete an action with an outcome note and schedule the next one.

Return to the conversation before you reply

Open the enquiry with its Buyer Need, stock, export terms and offer revision. Configured email and WhatsApp activity and Buyer Offer responses stay in context. When configured, AI can help prepare a reply for your review; you decide what to send.

Follow the negotiation through to a decision

A change request may move the enquiry to Negotiating. You review the request and create any revised offer. Buyer acceptance calls for seller confirmation; it does not mark the sale Won. Record Won or Lost when the outcome is clear.

Build a routine your team can maintain

Check open enquiries without a next action and offers approaching the end of their validity. Optional post-send follow-ups depend on company setup. A scheduled follow-up is a task for your team, not an automatic sales message.

A short message for a truck offer

Hello [name], following our offer for [stock reference], do you have the vehicle details you need to review it? You mentioned [open question]. I can clarify that before your decision on [agreed date]. Please let me know whether you would like to continue on the proposed terms or review a specific point.

Adapt this example to the actual conversation and your normal communication channel. It is a suggested message, not an automatic sequence or a promise of response rates.

Before closing the enquiry for today

  • The buyer and stock reference are clear.
  • The document version and agreed terms can be found.
  • One person owns the next action.
  • The follow-up has a reason and a realistic date.
  • Any reply or changed promise has been recorded.

Put the routine into your sales workspace

Use the dashboard to review buyer replies and work needing attention, then filter follow-ups by owner and due state. Switch between list and calendar, reschedule when the buyer’s timing changes, or complete a follow-up and schedule the next action with an outcome note.

In Exporlio, an optional configured follow-up can be created after sending an offer. Configured replies and Buyer Offer questions stay with the enquiry. A change request needs attention and may move the enquiry to Negotiating; you create any new revision. Acceptance prompts Confirm sale, not automatic Won. Human judgment decides the next useful conversation; a reminder does not send a sales email. Individual follow-ups help salespeople act; Management Reporting helps authorized managers see whether the process is producing Won outcomes.
