The Exporlio workspace
Keep the whole sale in view.
Start with the buyer’s request. Find relevant stock, agree an export offer and keep the next action clear. When you confirm the sale, carry the agreed terms into the export paperwork.

01 / Enquiry & Buyer Need
One enquiry. The whole commercial context.
Start with what the buyer needs, then connect the customer, the right units and the colleague responsible for moving the sale forward.
- Capture the enquiry
- Connect the customer, conversation, destination and assigned seller. Start before you have a specific unit to offer.
- Understand the Buyer Need
- Record product or model, budget and currency, timing and commercial requirements alongside the destination. Seller-approved requirements stay distinct from AI suggestions.
- Review with AI, when configured
- Extract proposed requirements from buyer messages, review the evidence and choose what to save. Your approved Buyer Need remains the reference for the deal.
02 / Stock & reservations
Know what you have, and where it is.
Smart Stock connects the enquiry and saved Buyer Need to real vehicles and equipment. Keep individually identified units alongside quantity-managed Parts & Consumables and physical locations.
- Smart Stock
- Review relevant units, specification differences and budget fit where prices share a currency. Availability and reservation conflicts stay visible. Suggestions are advisory; you choose the stock and verify unconfirmed requirements.
- Serialized stock and reservations
- Keep references, chassis or serial numbers, specifications, photos and location history. Reserve a unit for an enquiry with an expiry; conflicting reservations and sale commitments are checked before proceeding.
- Parts & Consumables
- Manage parts by reference and unit, with quantities by location. Record receipts, issues, transfers and adjustments. Separate CSV workflows support serialized stock and the parts catalogue.
03 / Offers & Proformas
Agree the terms. Preserve the version.
Build an Offer or Proforma from the buyer and stock, with prices, currency, freight, destination, ports, Incoterm, payment terms and validity. Choose English or French document labels independently of your interface.
Your company’s document design
Configure the layout, branding, sections and footer for your Offers and Proformas. Finalized documents retain their selected design version.
- Market Profiles and freight
- Reuse editable destination defaults. Review saved rates by route, ports, shipping mode, currency and validity, then apply an eligible rate: not live carrier prices or transport booking.
- Share, respond and revise
- Finalize an EN/FR PDF and share that exact revision through a Buyer Offer link. The buyer can ask questions, request changes or accept without an account. Compare linked revisions while preserving earlier terms.
- Negotiate with commercial context
- Keep responses inside the deal. When configured, AI assistance helps review requested changes and saved revisions. You decide the terms, create the revision and confirm the sale.
04 / Follow-up & negotiation
Keep the next action clear through follow-up and negotiation.
See new enquiries, replies waiting, overdue follow-ups, today’s work and offers awaiting response. Assign a seller, set a date and keep the latest buyer response with the offer. When terms change, preserve the old revision and prepare the next one.

Confirm the sale, then prepare the export paperwork.
You record Won or Lost. For an eligible Won sale with an agreed Offer or Proforma, continue into the export dossier: review and finalize a Commercial Invoice and Packing List. Keep finalized sale documents, the Equipment List and qualifying Specification Sheets in the Export Pack.
Buyer acceptance prompts your confirmation. Your team checks the documents; Exporlio does not file customs declarations or book transport.
06 / Management Reporting
Understand what is working across export sales.
Management Reporting reads the work already recorded in Exporlio: enquiries, Won and Lost outcomes, stock links, agreed commercial documents, destinations, Incoterms and Buyer Offer activity. It supports the sales workflow rather than replacing it.
- Outcomes and current pipeline
- Compare current and previous-period Won performance, closed win rate and Won value by currency. Review the current open pipeline by stage.
- Salespeople and enquiry sources
- Compare current salesperson results and see which sources create enquiries and Won outcomes. Historical attribution is not reconstructed.
- Export-commercial context
- Review sales-cycle timing, agreed-document coverage, revision depth, finalized destinations and Incoterms on Won sales.
- Buyer interest and data quality
- See which available vehicles or machines attract recorded buyer interest and where missing information weakens management visibility.
Currencies stay separate. Reporting does not provide FX-converted revenue, accounting profit, predictive forecasts or external market-demand claims.
07 / Team & Control
Give each colleague a clear responsibility.
Keep company records separate, shape access around the team’s work and see which commercial decisions need attention.
- Roles and controlled access
- Use Owner, Admin and Salesperson roles, or let the owner define custom roles with specific permissions. Assign location responsibilities where colleagues only need local inventory access.
- An actionable dashboard
- Review new enquiries, overdue follow-ups, replies, buyer questions and acceptance awaiting sale confirmation. Eligible users also see replenishment needs and procurement responses or receipts needing attention.
- Separate companies, EN/FR
- One account can belong to several company workspaces, each with its own records and membership. Choose an English or French interface; your entered text is not automatically translated.
08 / Communication & AI
Keep communication and AI assistance grounded in the sale.
Keep relevant email and configured WhatsApp exchanges around the enquiry. AI assistance, when configured, draws on the buyer conversation, saved Buyer Need, Stock and commercial context to help review requirements, understand the deal and prepare replies or negotiation reviews.
Recorded facts and AI interpretation remain distinct. You review the suggestions, approve saved requirements and decide what to send or change.
- Enquiry email
- After setup and validation, receive and reply to enquiry emails from the commercial record and send finalized documents. This is not full mailbox sync. Provider acceptance does not mean the buyer has read the message.
- Configured WhatsApp
- Configured WhatsApp workflows can connect messages and commercial activity to enquiries. Availability is confirmed during private-pilot setup. Exporlio is not a full WhatsApp inbox.
- Your website’s stock catalogue
- A website backend can read allowed serialized-stock prices, status, photos and specifications through the read-only Stock Feed API. Parts balances are not included. Integration work is required; it is not bidirectional sync.
- Website enquiries and CSV
- Connect a website form through your backend after Lead Capture setup. Preview customer, serialized stock and parts catalogue CSV imports and export authorized records. This is not a live Excel connection.
A clear place in your export business.
Exporlio connects the commercial sale with inventory and internal operations. Keep accounting, customs, inspections and transport booking in your existing processes. English and French cover interface and document labels; your own descriptions and terms are not automatically translated.
09 / Supporting operations
Keep the work around the sale moving.
Coordinate what your team needs internally and what it needs from a supply partner, with a responsible person and a recorded decision.
- Internal Requests
- When enabled, request stock, parts or a general task. Link an enquiry where useful, set priority and assignment, and record review, approval, fulfillment and comments.
- Procurement
- When enabled, send a request to a partner through a secure link. Review available quantities, prices and dates, accept or reject the response, then record receipts for linked Inventory Products.
- Replenishment
- Set reorder points and target quantities for Global Stock or individual Locations. Review low or out-of-stock parts, suggested quantities and stock held elsewhere before deciding the next action.
Your team records inventory movements explicitly. An approval, accepted supplier response or replenishment suggestion does not automatically move or order stock.
